Assistant Preservation Project Manager

Fallingwater (Mill Run, PA)

The Western Pennsylvania Conservancy is seeking an individual to fill the position of Assistant Preservation Project Manager at Fallingwater in Mill Run, Pa. This position is to provide design and construction project management for the preservation of Fallingwater, a UNESCO World Heritage Site designed by Frank Lloyd Wright and located in Mill Run, Pa. This position requires expert knowledge and experience with historic preservation theory and practice as well as a thorough knowledge of construction project management, including a familiarity with The Secretary of the Interior’s Standards for the Treatment of Historic Properties 

The Assistant Preservation Project Manager will have the ability to carry out preservation projects requiring the application of historic preservation, engineering, architectural, and landscape architectural standards and methods. This will include working closely with the senior director of preservation and collections, director of maintenance, maintenance assistant, and collections manager and archivist to monitor preservation maintenance efforts across the site, document their progress, and transfer images and documentation to the Fallingwater archive.  

Job Duties

  • Participate in all aspects of historic preservation projects including: surveying and condition assessments, creating written and photographic documentation; preparing specifications and assessment and treatment reports; monitoring and ensuring quality performance of conservators, technicians, and external contractors and subcontractors; reviewing and understanding all aspects of construction drawings and specifications; and performing and/or directing conservation treatments 
  • Successfully perform all aspects of project management including: preparing draft proposals for potential projects including budgets and staffing plan, organizing resources, staffing, and technology required to successfully perform projects; managing project paperwork, schedules, material submittals, work plans and progress reports; and conducting project-related communications with contractors and vendors 
  • Regularly review the conditions of Fallingwater to maintain an ongoing assessment and works with the director of preservation and collections to prioritize concerns 
  • Ensures compliance with design specifications, building codes and construction safety requirement 
  • Continually manages complex preservation projects, often involving a multiplicity of systems and areas of specialization, including masonry, carpentry, painting and window repairs
  • Provides hands-on support for all construction activities and assists with training of maintenance team members in museum-quality preservation methods and techniques 
  • Works with collections manager and archivist to archive historic and present-day preservation projects, including architectural drawings, reports and photographs 

Absolute Requirements

Graduate or college degree or certificate in historic preservation, architecture, preservation studies, building trades, construction management, or a related field. Other combinations of work experience and education will be considered

At least five years of work experience at an historic property, and a familiarity of preservation construction projects at various scales 

Experience with stone masonry, reinforced concrete construction, and rolled steel preferred  

Knowledge of grant writing and reporting for a variety of grant programs

Knowledge of Frank Lloyd Wright architecture and early to mid-20th century building technologies 

Excellent writing, editing, research and analytical skills 

Ability to work weekends, evenings and/or holidays as required

Valid driver’s license

Café Assistant – Full Time

Job Duties

  • Ensures proper set up of the Café.
  • Sets up pastry display.
  • Preps, cooks and plates items for Café service to specification; will sometimes assist in other culinary functions as needed.
  • Waits on customers and runs register; handles cash.
  • Assists in maintaining inventory and monitoring shortages.
  • Assists the Sous Chef or Executive Chef as needed.
  • Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable.

Collections Manager and Archivist

Fallingwater, a property entrusted to the Western Pennsylvania Conservancy and designated as a National Historic Landmark and inscribed on the UNESCO World Heritage List, is seeking a Collections Manager and Archivist to oversee the care, management, and proper storage of the Fallingwater collection, including its archival material. The position works with a variety of media including furniture, textiles, ceramics, basketry, glass, paintings and works on paper, as well as correspondence, photographs and books. Additional responsibilities include collections care, risk management, incoming/outgoing loans, accessions/deaccessions and security of artwork in transit. This position will oversee museum housekeeping staff, facilities caretaker staff, temporary intern staff and volunteers.

Job Duties

  • Recommend and implement collections and archives policies and procedures to ensure best practices and prevailing ethical standards relating to management and safety of collections. 
  • Oversee collections-related policies and procedures manuals and update as needed, ensuring compliance with the Fallingwater Collections Management Policy at all times. This includes the coordination of accessioning procedures, intellectual integrity of collection records, paper documentation with accurate information, and physical numbering for identification. 
  • Direct the creation and/or maintenance of legal and informational documents on permanent collections and loans, such as museum receipts, deeds of gift, condition reports, etc. 
  • Supervise the consistent updating of information in the collections management system as well as physical files; resolve discrepancies and inconsistencies and conduct object-related research as needed. 
  • Develop and implement inventory and storage projects, including housing/rehousing of objects. 
  • Oversee the dissemination of information on the collection to other departments, researchers, and students. 
  • Oversee internal and external object movement, including acting as courier when required. 
  • Routinely assesses temperature, relative humidity, and light levels and condition of collection items in house, gallery, and collections storage, recording and analyzing environmental readings and working with preservation, security and maintenance staff to remedy environmental and pest problems. 
  • Seek advice from professional conservators when appropriate and facilitate collections conservation treatment on- and off-site. 
  • Work with security staff to ensure that collections are protected by appropriate fire and security systems. 
  • Oversee Fallingwater’s museum housekeeping specialists and facility caretakers, and directly supervise the Head of Housekeeping to ensure efficacy of daily operations by both housekeepers and facility caretakers. 
  • Lead training program for housekeeping and facility caretaker teams, and with Head of Housekeeping update manuals, task sheet logbooks, and carry out supervisory responsibilities in accordance with the Conservancy’s policies, programs, and procedures. 
  • Lead annual performance appraisals of housekeeping and facility caretaking teams. 
  • Represent Fallingwater as a member of the Western Pennsylvania Conservancy at various management and committee meetings as requested. 
  • Support the Conservancy’s mission, cost containment and fundraising efforts and needs, as applicable. 
  • Assist with department budget development process and strategic planning initiatives. 
  • Contribute texts and any documentation for grant proposals as needed. 
  • Work in tandem with Fallingwater staff to ensure proper care and handling of collection and provide instruction on art handling techniques to other departments’ staff as needed. 
  • Assist with the installation and de-installation of exhibitions in permanent and temporary exhibition spaces.

Qualifications

  • A four-year college degree in Art History, Architectural History, Museum Studies, Library Science, or related field. An advanced degree (MA or MS) is highly preferred. 
  • Minimum of 5-7 years museum collections experience in a historic house museum setting with exposure to a wide variety of media and materials, preferably with twentieth-century design.  
  • Demonstrated knowledge of professional museum practices, including registration methods, documentation, safe object handling and art preservation, packing and shipping, storage of art, pest management, security measures and object numbering techniques.  
  • Demonstrated skill in collection management databases, Microsoft Word and Excel and Adobe Photoshop.
  • Previous experience preferred in supervising a museum housekeeping team, including contributing to performance appraisals. Familiarity with procedures for cleaning at a historical property and be comfortable within a museum environment. 
  • Excellent interpersonal, organizational and written and oral communication skills. 
  • Ability to work independently with little supervision and with others, and to effectively manage time throughout the day. 
  • Ability to work weekends and holidays. Flexibility with schedule and hours is required. 
  • Valid driver’s license.

Inventory Coordinator and E-Commerce Assistant

The Western Pennsylvania Conservancy (WPC) is seeking an individual to fill the position of  Inventory Coordinator and E-Commerce Assistant at Fallingwater in Mill Run, Pa. This position will support Museum Store operations and continue to drive e-commerce growth at Fallingwater, a UNESCO World Heritage Site designed by Frank Lloyd Wright and located in Mill Run, Pa.  

The inventory coordinator and e-commerce assistant is responsible for both incoming and outgoing shipments to Fallingwater with a primary focus on store inventories and merchandise, while assisting with e-commerce orders. This position will report to the director of retail operations.  

Job Duties

  • Accepts deliveries and shipments made to Fallingwater. 
  • Opens and verifies accuracy of incoming inventory against various documents according to the policies and procedures set forth by WPC. 
  • Reports damages and shortages to the store management team, in a timely and efficient manner.  Promptly identifies and reports damaged packages as they are being unloaded by carrier. Files damage reports with carriers.  
  • Assists in tagging and labeling of merchandise as directed by the store management team. 
  • Properly stocks and stores merchandise and inventories. 
  • Assists in organizing and maintaining storage areas for the Museum Store.
  • Uses company van to transport deliveries and merchandise throughout the site. 
  • Complies with all security and safety procedures as established by the Conservancy and its security team. 
  • Ensures that the company van has gas and is well maintained. 
  • Ensures that van log is completed accurately and notes any discrepancies in travel and/or time.
  • Assists with processing online orders through Fallingwater’s e-commerce site. 
  • Assists with e-commerce orders and ensures that proper packaging is being followed to prevent damage in accordance with procedures established through our carriers such as FedEx, UPS and USPS. 
  • Assists in processing e-commerce orders through Siriusware/Accesso in order to accurately reconcile inventory and financial/payment balances.
  • Aids in shipping, receiving and online sales clerk duties. 
  • Incorporates WPC’s constituent-focused customer service values in work habits and interaction with others. 
  • Encourages visitors to become WPC members. 
  • Supports WPC’s cost containment and fundraising efforts and needs, as applicable. 
  • Supports WPC’s mission and goals.
  • May occasionally wait on and assist customers with purchases in the Museum Store as needed. 
  • May periodically be asked to pick-up or take mail at the post office as needed. 
  • Picks up locally made product for the Museum Store.

Requirements

  • Must have experience with receiving and proper handling of shipments and deliveries
  • Related stockroom experience in a retail setting is preferred, but not completely necessary

Kitchen Assistant

Museum Housekeeping Specialist I – Full Time

Fallingwater, a property entrusted to the Western Pennsylvania Conservancy (WPC) and designated as a National Historic Landmark and inscribed on the UNESCO World Heritage List, is seeking a highly motivated individual to serve as full-time seasonal Museum Housekeeping Specialist I who will clean the interior of the Fallingwater museum and perform other housekeeping and basic cleaning duties around the Fallingwater site. This position will report directly to the Head of Housekeeping.

Job Duties

  • Cleans museum and cares for furnishings and collections in accordance with established curatorial and housekeeping procedures as outlined in the housekeeping manual.
  • Oversees the proper arrangement of furnishings, pillows, textiles and objects, and the placement of other collection pieces in accordance with established procedures.
  • Reports broken objects, damaged collection items and potential maintenance and safety problems in and around the museum to the director of preservation and collections.
  • Surveys condition of collections and furnishings for wear and dirt and apprises the director of preservation and collections.
  • Keeps equipment and housekeeping storage shelves clean and organized.
  • Cleans Barn, pavilion gallery, ancillary WPC buildings and offices, including mopping, vacuuming, dusting, sweeping, emptying trash, changing beds, washing windows, cleaning refrigerator, laundry, etc. as directed.
  • Assists staff with set-up and clean-up for special events at Barn, ancillary buildings and museum.
  • Checks restrooms, kitchen area, entrance area, meeting rooms and other spaces at the Barn during events to assure supplies are restocked and areas spot cleaned as needed.
  • Maintains necessary supplies at the Barn, ancillary buildings, museum and offices.
  • Assists with basic exterior maintenance, such as sweeping and spiderweb removal.
  • Supports the Conservancy’s fundraising efforts and needs, as applicable.
  • Performs additional duties and responsibilities as requested.

Pastry Chef

Fallingwater, a property entrusted to the Western Pennsylvania Conservancy and designated as a National Historic Landmark and inscribed on the UNESCO World Heritage List, is seeking a full-time Pastry Chef. The overall objective of the Pastry Chef is to assist the Executive Chef and Sous Chef with preparation and delivery of baked goods, desserts and pastries that enhance menu offerings and elevate the dining experience for visitors to the Fallingwater Café, a certified Green Restaurant. The Pastry Chef is also tasked with creating exceptional desserts for specialty tours and special events, of varying scale, as required. This position will report directly to the Executive Chef.

Job Duties

  • Assists with preparation of food items for daily Café menu, group dining, catered events and specialty tours
  • Manages kitchen functions in absence of Executive Chef/Sous Chef
  • Complies with food service government regulations, as directed by supervisor
  • Assists in monitoring kitchen supplies and inventory for shortages and informs the supervisor
  • Operates and manages pastry section of the Café. Prepares a variety of baked goods daily
  • Keeps all workspaces clean and neat, meeting the highest qualities of sanitation and food safety
  • Works closely with the Executive Chef on special events and specialty tours catered by the Café
  • Assists with pastry preparation and set up and cleanup
  • Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable.
  • Develops new seasonal recipes and menu items for the Café and special events, elevating the visitor experience and reflecting the latest trends

Duties include supervising the café staff at the Fallingwater Visitor Center, directing food preparation, helping with menu creation and meal design and assisting with special events. Job Duties

  • Works directly with Executive Chef in all aspects of running a food service operation including organization, paperwork, cooking, employee training and supervision, inventorying, cleaning, menu production, and special event catering.
  • Assists in the development of seasonal menus and meal design and develops new menu options based on seasonal change and customer demand.

  • Supervises Cafe staff, plans and schedules daily food production and foodservice sanitation, as directed by Executive Chef.  
  • Assists Executive Chef in training new hires and existing staff, including training on continuing compliance with food service regulations, and in overall Café cleaning and maintenance.
  • Upholds Fallingwater’s sustainability standards and meets all requirements of certification with theGreen Restaurant Association and Sustainable Pittsburgh Restaurants.
  • Ensures that cash control measures in the Cafe are followed.
  • Oversees general Cafe cleaning and maintenance to ensure aesthetic standards are maintained.
  • Assists with customer complaints and difficult customers.
  • Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable and directed by the Executive Chef.

Qualifications

  • Minimum of two years of formal culinary/foodservice management training or commensurate experience; minimum of two years of culinary preparation experience; minimum two years of culinary management experience in similar volume operation with comparable duties and responsibilities.
  • Must be well versed in a wide variety of cooking skills, techniques and possess a knowledge of food presentation.
  • Must have or be able to obtain current certifications and licenses required by local, state, and/or Federal guidelines for food production management.
  • Must be able to successfully complete training to be ServSafe certified through the National Restaurant Association.
  • Knowledge in sustainable food practices is preferred.
  • Proven skills as a strong team player with some experience supervising employees and with professional kitchen organization is required.
  • Must be able to work weekends and holidays, be able to work overtime as necessary, and show flexibility with scheduling and hours.
  • Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers, staff, customers, and general public.
  • Proficiency with MS Office software and experience with POS systems required. 
  • Valid driver’s license required.

Museum Store Retail Sales Associate – Part Time

The Western Pennsylvania Conservancy, at its Fallingwater location, seeks a pleasant and enthusiastic individual to assist customers at the Fallingwater Museum Store. The primary function of the position is to assist the full-time sales team in the day-to-day operations, which includes providing customer service and selling store merchandise. Retail or customer service experiences preferred.  Must be flexible with schedule, dependable and able to work weekends.

Job Duties

  • Waits on and assists customers with purchases
  • Accurately processes sales transactions via Point of Sales system
  • Assists senior associates with opening and closing procedures, which include cash handling and balancing the cash drawer.
  • Restocks merchandise and maintains displays
  • Cleans Store daily and upholds its appearance
  • Sells WPC memberships in Museum Store
  • Supports the Conservancy’s cost containment and fundraising efforts and needs
  • Assists with year-end inventory counts
  • Assists with organization of backstock and stockroom

Visitor Services Representative – Part Time

Fallingwater (Mill Run, PA)

Fallingwater, a National Historic Landmark and UNESCO World Heritage site owned by The Western Pennsylvania Conservancy (WPC), is seeking a highly motivated and engaged individual to serve as a Part-time Visitor Services Representative who will be responsible for taking and updating reservations and visitor information, greeting visitors, selling admission tickets, staffing the information desk and working with internet ticket sales. This person will also assist with Fallingwater special events, as needed. This position will report directly to the director of visitor services.

Job Duties

  • Trains and works at all areas within the visitor services department including, admissions booth, reservation office, information desk, group sales and shuttle driver when needed.
  • Communicates with individuals who are interested in Fallingwater.
  • Completes visitor requests for information and mails brochures as requested.
  • Answers questions from visitors in person, on the telephone and via email, and directs visitors to proper areas.
  • Compiles end of day paperwork on a daily basis, including cash and credit card receipts.
  • Follows cash handling procedures in the admissions booth, information desk and reservations office as established by the visitors services manager, operations supervisor and finance department.
  • Tallies daily attendance numbers and assists in managing visitor flow through the control of daily reservations and visitors entering the property.
  • Maintains ongoing communication with on-site staff and work stations to ensure a smooth visitor services process by notifying all appropriate areas, including admission booth, information desk, museum shop, café, and floor supervisor of reservation totals and special situations.
  • Maintains the visitor services database.
  • Entering new reservations and update existing information received by telephone, mail, email in the reservation office.
  • Compile daily summary report, generate and send email confirmations.
  • Sell tour tickets and process payments. through reservations office, at admissions booth or information desk.
  • Compile daily internet sales and/or gift card redemptions and activations reports.
  • Completes group reservations, lodging partner reservations, and maintain lodging partner account statements (as assigned).
  • Assists with reservations, information and admissions concerning special events held at Fallingwater and the Barn at Fallingwater, as requested.
  • Provides other support to Special Events as needed including scheduling, set-up and clean-up.
  • Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable.
  • Performs additional duties and responsibilities as needed.

  • Previous experience in handling cash; accuracy and attention to detail
  • Must be able to remain calm under pressure
