Visitor Services Representative – Part Time

Fallingwater (Mill Run, PA)

The Western Pennsylvania Conservancy (WPC), at our Fallingwater location, seeks a highly motivated person who will be responsible for taking and updating reservations and visitor information, greeting visitors, selling admission tickets and staffing the information desk and working with internet ticket sales. Assists with Fallingwater special events, as needed.

Job Duties

  • Trains and works at all areas within Visitor Services including, admissions booth, reservation office, information desk, group sales and shuttle driver when needed.
  • Communicates with individuals who are interested in Fallingwater. Completes visitor requests for information and mails brochures as requested. Answers visitors’ questions in person, on the telephone, via email; and directs visitors to proper areas.
  • Compiles end of day paperwork on a daily basis, including cash and credit card receipts.
  • Follows cash handling procedures in the admissions booth, information desk and reservations office as established by the Visitors Services Manager, Operations Supervisor and Finance Department.
  • Tallies daily attendance numbers and assists in managing visitor flow through the control of daily reservations and visitors entering the property.
  • Maintains ongoing communication with on-site staff and work stations to ensure a smooth visitor services process by notifying all appropriate areas, including admission booth, information desk, museum shop, café, and floor supervisor of reservation totals and special situations.
  • Maintains the visitor services database:
    1. Enters new reservations and update existing information received by telephone, mail, email in the reservation office
    2. Compile daily summary report, generate and send email confirmations.
    3. Sell tour tickets and process payments. through reservations office, at admissions booth or information desk.
    4. Compile daily internet sales and/or gift card redemptions and activations reports.
    5. As assigned, complete group reservations, lodging partner reservations, and maintain lodging partner account statements.
  • Assists with reservations, information and admissions concerning special events held at Fallingwater and the Barn at Fallingwater, as requested. Provides other support to Special Events as needed including scheduling, set-up and clean-up. · Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable. · Performs additional duties and responsibilities as needed.

Absolute Requirements

  • High school diploma or GED preferred.
  • Must have good verbal and written communications skills, professional telephone etiquette and a strong customer service orientation.
  • Must have excellent interpersonal skills and be able to work well independently and with others. Must present a positive and friendly image to visitors.
  • Must be detail-oriented and have a working knowledge of office procedures. A working knowledge of word processing and database software is required.
  • Must maintain a good knowledge of Fallingwater and environs and WPC.
  • Ability to work weekends and holidays and flexibility with hours and schedule is required.
  • Previous experience in handling cash; accuracy and attention to detail.
  • Must be able to remain calm under pressure.

Security Officer - Part Time

Fallingwater (Mill Run, PA)

The Western Pennsylvania Conservancy (WPC), at our Fallingwater location, seeks a highly motivated individual as part-time Security Officer. The position will assist the director of security in maintaining the physical security systems and activities related to the protection, safeguarding and security of the Fallingwater site and WPC properties and buildings adjacent to the site. The officer provides for a secure environment for visitors and staff.

Job Duties

  • Assists director with the preventative maintenance and minor repair of security equipment as requested
  • Monitors security of buildings, collections and grounds
  • Acts as first responder to emergencies
  • Prepares incident reports and accident reports
  • Intercedes and handles disruptive visitors, as requested
  • Reports unusual incidents to Director of Security
  • Monitors video surveillance systems
  • Keeps log on security and safety related incidents
  • Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable

Absolute Requirements

  • Ability to work weekends and holidays and flexibility with schedule and hours

TreeVitalize Program Supervisor

Harrisburg, PA

The Western Pennsylvania Conservancy (WPC)'s Director of Community Forestry and TreeVitalize Pittsburgh jointly with the Department of Conservation and Natural Resources’ Section Chief for the Bureau of Rural and Community Forestry. Western Pennsylvania Conservancy (WPC), in cooperation with the Pennsylvania Department of Conservation & Natural Resources (DCNR) Bureau of Forestry (BOF), seeks a highly motivated, driven, and well-organized individual to help promote and manage urban and community forestry efforts in Pennsylvania. The ideal candidate will have excellent interpersonal and communication skills, exhibit outstanding planning skills, and demonstrate the ability to build trusting relationships with cross-sector partners. Knowledge of urban and community forestry, tree identification, and PA natural resources is desirable. Competencies in supervisory skills, grant management, and partnership building are highly valuable. A four-year degree in natural resources, environmental studies, or urban planning or a related degree and equivalent experience are required. Must be willing to travel around PA for site visits and meetings on a regular basis.

The purpose of this position is to further the goals of the Bureau of Forestry’s Urban & Community Forestry Program, also known as TreeVitalize. The TreeVitalize Program seeks to educate citizens and increase quality of life for Pennsylvanians in urban/suburban settings through tree planting and tree care work. TreeVitalize helps citizens understand the myriad benefits of planting trees, the importance of keeping existing trees in the community healthy, and the value of sufficient tree canopy. The program also encourages and provides outlets for citizens and municipalities to take action to improve their urban and community forest.

Job Duties

  • Guide and manage the TreeVitalize program statewide, providing leadership and coordination among the TreeVitalize Partnership across the Commonwealth
  • Coordinate and advocate for resources including funding, reporting, broader messaging, training, etc. of the TreeVitalize Partnership to build the group’s collective momentum
  • Provide strategic input and direction, assistance, and information to the State Forester’s office, Divisions, and field offices of the Bureau by conducting support activities for the Bureau’s Urban and Community Forestry program

 Absolute Requirements

  • ­Position based at the Bureau of Forestry’s Central Office in Harrisburg, Pennsylvania--with remote working options available with a PA residence
  • Bachelor’s or Master’s degree in a natural resource-related/environmental field; minimum of three years of experience required

Café Assistant

Fallingwater (Mill Run, PA)

The Western Pennsylvania Conservancy (WPC), at our Fallingwater location, seeks a highly motivated person as its Café Assistant who will provide customer service and will wait on customers in the café and assist in preparing and presentation of food.

Job Duties

  • Keeps Café clean and neat
  • Preps, cooks and plates items for Café service, grab-and-go, table service and special events as needed
  • Waits on customers, runs cash register, balances at end of day
  • Assists in maintaining inventory, monitors shortages and informs co-workers, assistant manager or manager as needed
  • Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable

Preferred Qualifications

  • Experience with food preparation, cooking service and preparation
  • Good customer service and organizational skills

Custodian -  Part Time

Fallingwater (Mill Run, PA)

The Western Pennsylvania Conservancy (WPC), at our Fallingwater location, seeks a highly motivated person as its Custodian. The custodian will be responsible for cleaning buildings, removing debris and keeping areas neat and clean. The focus of work will mainly be at the Visitor Center Pavilion and the Barn at Fallingwater, however work may be assigned in other locations at Fallingwater as needed.

Job Duties

  • Checks restrooms at the Visitor Center Pavilion hourly and cleans restrooms and replenishes toilet paper and soap dispenser, as needed.
  • Keeps Visitor Center Pavilion swept and mopped, picks up trash, removes leaves and other debris, keeps windows clean, wipes off desk surfaces, and in the winter may be required to handle minor snow removal on steps to the pavilion. Assists Café with keeping tables clean, as needed.
  • Responds to minor maintenance issues in the pavilion and fixes or reports items needing repaired to maintenance. Visually inspects lights and changes light bulbs as needed.
  • Monitors bathroom supply needs and reports when supplies need replenished.
  • Works at the Fallingwater Barn as scheduled, sweeps and mops floors, cleans bathrooms and replenishes supplies.
  • Cleans Barn offices as scheduled, including mopping, vacuuming, dusting, sweeping, emptying trash and washing windows.
  • Assists staff with set up and clean up for special events at the Barn, ancillary buildings and museum as assigned.
  • Maintains necessary supplies at the Barn and reports any needed supply orders.
  • Assists with basic exterior maintenance at the Barn, such as sweeping and spider web removal.

Job Duties

  • Develops unique and cuisine-appropriate menus for the Fallingwater Café and special events and takes inspiration from the culinary heritage of this region of Appalachia.
  • Demonstrates an ability to provide high-quality offerings to a diverse range of audiences across programs. Delivers popular, affordable options for the general public at the Fallingwater Café as well as high-concept, elevated fine dining for fundraising events.
  • Stays current on development trends in the restaurant industry, particularly as they relate to organic food standards and sustainability.
  • Maintains Green Restaurant Association and Sustainable Pittsburgh Restaurant certifications and works to continually enhance sustainability of all operations.
  • Monitors inventory and purchases supplies and food from approved vendors, with a focus on local and regional sources.
  • Explores partnerships with local farms and purveyors as well as the Conservancy’s Farmland Access Program to meet food sustainability goals.
  • Oversees inventory control and prepares year-end inventory analysis.
  • Maintains kitchen building, café cook area and surroundings in conditions that meet the highest standards and health code regulations.
  • Hires, trains, and supervises kitchen and café staff, ensuring the highest standards of professionalism, hospitality, customer service, and quality.
  • Directs and trains kitchen and café staff in meal preparation, plating and service, providing prep support as needed.
  • Prepares meals for special events and fundraising dinners.
  • Oversees the wine and beverage program, working with Security to maintain inventories for all alcoholic beverages.
  • Carries out management responsibilities in accordance with the Western Pennsylvania Conservancy’s policies, programs and procedures. These responsibilities include the development and administration of budgetary information; recommending and/or approving staff changes or actions; ensuring appropriate training and staff development; providing advice and guidance on the more complex aspects of the job; and resolving complaints or related divisional issues.
  • Ensures that cash control measures in all food service operations are followed.

Absolute Requirements 

  • Advanced education in food preparation, culinary arts or equivalent experience is required
  • Prior experience working for high volume in an arts/culture, resort, hotel, catering or comparable setting is required
  • Prior supervisory experience is required. Must have the ability to plan work schedules and assign duties; ability to provide or arrange for training; ability to supervisor employees
  • High level of skill and abilities in planning and preparing a variety of menus/recipes
  • Knowledge of supplies, equipment and services necessary to run an efficient kitchen

Fallingwater Marketing Communications Specialist

The Western Pennsylvania Conservancy (WPC) is seeking a highly motivated, creative professional with experience in marketing communications, public relations, marketing, digital marketing or multimedia communications for its Marketing Communications Specialist for Fallingwater. The specialist will support WPC’s communications department by leading, managing and/or assisting with the essential duties associated with Fallingwater’s external marketing and communications, including social media, advertising, photography, videography, writing for digital and print publications, and creating website content. In addition, the specialist will help manage and assist with special projects, media relations and other duties as assigned.

Job Duties

  • Creates, writes and edits content for Fallingwater's social media platforms, including writing posts, and taking and editing photos and videos.
  • Creates, writes and edits content for Fallingwater's quarterly e-newsletters, website and other writing assignments as assigned.
  • Works with Fallingwater staff to help develop, manage and implement strategies for marketing and communications programs related to Fallingwater’s revenue generating operations, including site visitation, Museum Store, Café, Barn and Fallingwater Institute.
  • Manages digital, social and print advertising for Fallingwater, including conducting vendor outreach, establishing contracts, monitoring and tracking ad budgets, copyediting ads and specifying ad placements.
  • Takes and collects video and photography to support various Fallingwater marketing and communications projects and platforms.
  • Manages Fallingwater multimedia communications intern.

Absolute Requirements 

  • A bachelor’s degree in marketing communications, marketing, digital marketing, public relations, multimedia communications or journalism and communications or equivalent experience.
  • At least five years of professional experience
  • Strong communication skills, including writing and editing
  • Experience with the management of social media platforms and digital advertising
  • Experience in production of communication materials
  • Proficiency with email marketing platforms
  • A developed eye for design and demonstrated skill in applying a visual and brand aesthetic
  • Genuine interest in and knowledge of architecture, art and design
