Museum Store Inventory and E-Commerce Coordinator
Fallingwater, a property entrusted to the Western Pennsylvania Conservancy, designated as a National Historic Landmark and inscribed on the UNESCO World Heritage List, is seeking a full-time Inventory and E-Commerce Coordinator for the Museum Store. This position reports directly to the Museum Store Assistant Manager and is responsible for both incoming and outgoing shipments to Fallingwater with a primary focus on store inventories and merchandise, while processing e-commerce orders.
Job Duties
- Accepts shipments made to Fallingwater and coordinates deliveries to departments throughout the site.
- Opens and verifies accuracy of incoming Museum Store inventory against various documents according to the policies and procedures set forth by the Western Pennsylvania Conservancy (WPC).
- Reports damages and shortages to the store management team, in a timely and efficient manner. Promptly identifies and reports damaged packages as they are being unloaded by carrier. Files damage reports with carriers.
- Assists in tagging and labeling of merchandise as directed by the store management team. Properly stocks and stores merchandise and inventories, and maintains storage areas for the Museum Store.
- Uses company van to transport deliveries and merchandise to the Museum Store and throughout the site. Ensures that the company van is well maintained, including gas level, and that van log is completed accurately and notes any discrepancies in travel and time.
- Complies with all security and safety procedures as established by the Conservancy and its security team.
- Processes in house shipping requests in a timely manner ensuring proper packaging to prevent damage in accordance with procedures established by our carriers such as FedEx, UPS, and USPS.
- Promptly and accurately processes payments for in house shipping, and inter-department sales transactions in accordance to established policies.
- Fulfills and processes online orders through Fallingwater’s e-commerce site and packages orders to prevent damage in accordance with procedures established by our carriers such as FedEx, UPS, and USPS.
- Processes e-commerce orders through Lightspeed point-of-sale system in order to accurately reconcile inventory and financial/payment balances.
- Provides customer service and serves as the liaison for all ecommerce orders, service issues, complaints, and shipping requests.
- Maintains records for all ecommerce orders, shipments, and damage claims in accordance to established policies.
- Responsible for maintaining ecommerce storage area with correct/sufficient inventory amount and notifies store management when stock is getting low.
- Responsible for organizing, maintaining, and stocking all shipping supplies, and notifies store management when supplies are getting low.
- Incorporates WPC’s constituent-focused customer service values in work habits and interaction with others.
- Encourages customers to become WPC members.
- Supports the Conservancy’s cost containment and fundraising efforts and needs, as applicable.
- Supports the Conservancy’s mission and goals.
- Flexibility with schedule and hours may be required due to circumstances as they occur. Schedules may be adjusted in advance or with little to no notice to support staffing needs such as shortages, evening events, etc. This may include working earlier than scheduled or staying later than scheduled, and working evenings and weekends outside of the typical Museum Store hours.
- May occasionally wait on and assist customers with purchases in the Museum Store as needed.
- May be required to travel offsite to pick-up shipping supplies and Museum Store product.
- Performs additional duties and responsibilities as needed.
- Collaborates with Shipping, Receiving and Online Sales Clerk.
- Maintains receiving records in accordance with established policy.

- Lift up to 35 lbs. consistently, and up to 50 lbs. occasionally
- Climb step stools and ladders
- Reach overhead, stretch, and bend over to access and store stock

Location: The position is based at Fallingwater in Mill Run, PA.
Qualifications
- Must have experience with receiving and proper handling of shipments and deliveries.
- Related stockroom experience in a retail setting is preferred.
- Experience with computers and Point of Sale systems are required.
- Must have exceptional organization skills and be accurate with details.
- Must possess professional customer service skills and communication skills, including verbal, written, and listening.
- Must be a team player, and have the ability to work well with others.
- A valid driver’s license is required.
- To be able to complete all physical requirements of the job with or without a reasonable accommodation.

Position Duration
This is a full-time seasonal position which includes a competitive benefits package.
Pay
$18.32-$20.43 per hour
